Area Governor Startup Plan
Complete by June 26, this will take about 60-90 minutes to complete.
- Go to the Toastmasters International (TI) web site: www.toastmasters.org and bookmark it.
- From the TI website home page, go to the Members section. This will give you access to a variety of information and reports.
- Order from the Supply Catalog (or Online Store) one (1) New Club Information Kit (free) and three (3) Publicity Packs, #1153. These can be ordered online.
- From the Members section, look for the district Performance Reports. This provides access to a variety of reports. Go to District Reports and choose District 22. Review reports: Distinguished Club Program by Division/Area and Distinguished Division/Area and look up the most current information on your Area or Division.
- From the Members section, look for the district Performance Reports and go to Club Reports. Run the report for each of your clubs by entering the club number. Print out each club's current DCP report and start a folder for each club.
- From the Members section, go to Membership Building on the right side of the page. Scroll to the bottom and become familiar with all of the FREE Membership Building resources that you can offer to your clubs.
- Go to "Find a location near you" (upper left side of TI web site home page) and look up each of your clubs. This is what a typical site visitor would see: where/when the club meets and contact information. Print out this information and add to club folders. If any information is incorrect, contact the club to have the information updated.
- Browse the various tips and tools sections to see what you might want to share with your clubs.
- Under the Contact District Officers, click on Find a District Officer. Check your contact information to be sure it is correct. Familiarize yourself with the other links on the site.
June 28
- Ask someone to be your Assistant Governor. Duties that can be assigned to this person include running speech contests and assisting with starting a new club.
- Get red, white, and blue X-team ribbons from the District 22 Lt. Governor Marketing.
- Ask your home club members to join the X-team. Send list of names, email addresses, and phone numbers to the District 22 Lt. Governor Marketing.
- Tell your home club VP Education about your new responsibilities as Governor and modify your home club commitments to reflect reality!
June 30
- Get phone numbers and email addresses for club officers in your area.
- Create an email distribution list for your area or division.
- Ensure that the District 22 newsletter, The Gavel, is received by club officers in your area.
- Contact all club presidents in your area. Establish rapport and ask to attend a meeting in late July or early August.
- Send an email to each club's officers confirming your visit date and asking if you may have a copy of their DCP and a Visitor/New Member packet when you arrive.
July 2
- Identify potential new clubs and send letters with a Publicity Pack.
- Copy your Division Governor and/or Lt. Governor Marketing with email versions of the letters so they are ready to assist.
July 15
- Call prospects for potential new clubs and ask for an appointment in July.
- Ask the Lt. Governor Marketing if you want help in making this call.
July 31
- Get the video "Everybody's Talking about Toastmasters" (#4007) from your Division Governor.
- Make calls to prospects.
- Set up demo meetings for August. Ask Lt. Governor Marketing if you want help with this call.
- Request help with the Demo Meeting from the X-Team.
August 20
- Complete first visit to all clubs.
- Recruit two Blue Ribbon X-Team members per club and promote Red Ribbon New Member Sponsor Award and White Ribbon Loyalty Team Mentors.
September 1
- Schedule second club visit to recognize New Member Sponsors and Mentors.
- Remind the club about the deadline for semiannual dues payments and follow up on specific club needs.
October 1
- Complete second club visits.
- Complete online visit forms. From the TI web site, go to Members ' District Officer ' Conduct District Business. In that section, there is a link called "Enter Area Visit report of club visit"
October 30
- Check your area status on the TI website.
- Do you have more than 60% of clubs at 20 members?
- Have at least 75% of your clubs turned in their semiannual dues?
- Will you have 1 CC per club by Thanksgiving?
- Will you have 1 AC per club by Thanksgiving?
- Are all of your clubs on track to be Distinguished?
